How We Test

Every tool we recommend has been used by us on a realistic client workflow. Here is exactly how.

1. We sign up like you would

We create an account on the plan a freelancer or small agency would realistically pick: usually the free plan or trial, then the entry paid tier when a feature we are testing requires it. We do not use vendor-provided demo accounts.

2. We run the same core workflow on every tool

Depending on the category, we complete a standard set of tasks:

CategoryCore tasks we run
Invoicing & paymentsCreate a client, send an invoice, set up automatic reminders, accept a card payment, record a partial payment
Proposals & contractsBuild a proposal from scratch, add packages or options, collect an e-signature, convert it to an invoice
CRM & client portalsImport contacts, build a pipeline, share files with a client, log communication
Project managementSet up a client project, assign tasks, share progress with a client
Time trackingTrack time across clients, generate a billable report, push hours to an invoice
AutomationBuild the same workflow (new booking → onboarding email → project) and measure setup time

We record setup time, the number of steps, and where we got stuck.

3. We calculate the real cost

We price every tool for 1, 3 and 5 users, including the add-ons you would actually need (e-signatures, removing branding, payment processing fees). We list monthly and annual prices and the date we checked them.

4. We score with the same rubric

CriterionWeight
Fit for freelancers & small agencies25%
Ease of setup and daily use20%
Core features for the category20%
Real cost and value20%
Client experience (what your client sees)10%
Support, data export & ease of leaving5%

Scores are out of 10. A tool can be excellent and still not be right for you, so every verdict states who it is for and who should skip it.

5. We keep it current

We re-check pricing and major features at least every six months, and immediately when a vendor announces significant changes. The “Last updated” date on each article reflects the last real check.

Reviews vs. guides

Not every article is a hands-on review. We publish two kinds of content and label them clearly:

  • Reviews and comparisons are based on real accounts and the workflows described above. Some steps may be run with AI-assisted browser automation; Bryan reviews every result and screenshot and makes the final verdict.
  • Pricing guides and explainers are researched from vendors’ official pricing pages and documentation. They show the date the information was checked and never include a hands-on score.

What we don’t do

  • We don’t accept payment for reviews or rankings.
  • Vendors don’t see or approve our articles before publication.
  • We don’t review tools we haven’t used.

How we use AI

We use AI tools to help structure and edit our writing. Opinions and final verdicts are Bryan’s, every fact is checked against an official source, and every article is reviewed by Bryan before it is published.
